BlueCafé Policies

BlueCafé Appropriate Use Policy

BlueCafé, powered by Cisco WebEx, is an online web and phone conferencing tool available to support Creighton University business, teaching, learning and scholarship. Creighton University faculty, staff and students may use BlueCafé for coursework, committee meetings, department projects and other acceptable educational efforts.  BlueCafé should be used with caution with HIPAA or FERPA protected data.

Access to BlueCafé

Participation in a BlueCafé session is open to all. Permission to host a BlueCafé session will be granted as follows:

User Roles:

Available user roles include the following:

  • Host: Users with a BlueCafé user account can schedule meeting and training sessions, admit and eject participants and give others Presenter status. A Host must start the meeting and a host must stop the meeting.  The Host role can be handed off to another Host in attendance, but there can only be one Host at a time in any given BlueCafé session.
  • Presenter: Presenters do not have to have a BlueCafé user account. The Host may elevate a Participant to the role of Presenter.  This person has the ability to share their screen, lead presentations, and pass the role of Presenter to another Participant.
  • Participant: Participants can share audio and video (if allowed) and view the web session.  If the Presenter so chooses, a Participant may be given the Presenter role.

BlueLine:

Links to a BlueCafé session may be inserted inside a BlueLine course or group.  Faculty or group owners may upload a recording to their BlueLine site.  At this time, BlueCafé is not directly integrated with BlueLine.

Access to Recordings:

There is limited internal storage space for BlueCafé recordings. Please be circumspect in: 1) deciding if a session SHOULD be recorded; 2) leaving recordings online in BlueCafé.

A BlueCafé session does not need to be recorded, but in some cases, the Host may wish to record it so others can view it within a few days. However, BlueCafé is not intended to be the archival record of a course or project.  There are other tools available that are better utilized in these cases.

Communication & Administration

Standard Maintenance Window:

Routine maintenance of the software that powers BlueCafé is at the discretion of Cisco. BlueCafé planned outages will take place as scheduled by Cisco. These planned outages will be announced via DoIT Alerts. To receive these alerts, sign up at http://doit.creighton.edu/email-accounts/email/mailing-lists.

System Administrator Access to BlueCafé:

DoIT and Cisco support personnel may access BlueCafé to solve technical support tickets or in response to faculty or staff queries for help. System administrators may access BlueCafé as part of system testing and maintenance with no advance permission. Any information or data discovered about a BlueCafé session or user during the course of system investigations or testing will not be shared.

Storage Limitations:

Currently each host is limited to 500Mb of storage of recordings and files.

Computing Policies

Use of BlueCafé, by faculty, staff and students is governed by Creighton University’s Fair, Reasonable and Acceptable Use Policy (http://www.creighton.edu/fileadmin/user/doit/docs/policies/Fair_responsible_and_acceptable_use_Policy.pdf).
